Passenger Comments / Complaints:
It is crucial that any complaints be communicated immediately to the relevant handling agents or representatives so that proper action can be taken.
Cancellation / Refunds:
Cancellation charges will apply for bookings canceled after confirmation. Refund requests must be submitted in writing within 15 days following the scheduled completion of services. Requests for refunds on curtailed stays can only be processed if documentary evidence from the hotel or service provider is provided. All refund requests are subject to approval by the hotel or service provider. Refunds will not be issued without this approval. Mountain Ice Trip reserves the right to approve or reject refund requests and may charge an administrative fee if necessary.
For package tours, no refunds will be issued for partially utilized services or no-shows. In the event of a no-show, Mountain Ice Trip reserves the right to release the entire booking and impose a 100% cancellation charge.
Cancellation Due to Non-Payment of Tour Price – Deemed Cancellation:
If the full tour payment is not received as per the terms and conditions, Mountain Ice Trip reserves the right to cancel the booking or registration without prior notice, forfeiting any deposit, advance, or partial payments made.
Discontinuation from Ongoing Tour:
If a guest voluntarily discontinues or terminates their tour for personal reasons, it will be treated as a deemed cancellation, and no refund will be provided.
Right of Admission & Termination:
- Guests with Medical Ailments: If any guest is suffering from a medical condition, Mountain Ice Trip reserves the right to cancel the booking or registration of that guest on medical or other grounds, without providing reasons. The company also reserves the right to modify, restrict, or discontinue the guest’s tour without explanation. Any additional costs incurred will be the responsibility of the guest, and no refunds will be provided.
- Misbehavior or Disruption: Mountain Ice Trip reserves the right to terminate the booking or registration of any guest prior to departure or during the tour if the guest fails to follow group decorum, misbehaves, or for any other reason. In such cases, no refund or compensation will be provided, and the guest will be responsible for the costs of returning home.
No Refunds in Certain Cases:
No refund will be provided in the following situations:
- If services are modified, amended, curtailed, or unused due to force majeure.
- If a guest cancels the tour due to any changes in government regulations.
- If the tour is canceled or postponed indefinitely due to unforeseen calamities.
- For any missed or unused services during the tour, including meals.

Responsibility:
Mountain Ice Trip operates as a travel agent for all services covered in this document and is not responsible for any loss, injury, or damage resulting from natural disasters, fire, breakdowns, government actions, war, civil disturbances, riots, theft, illness, epidemics, quarantine, or any delays or changes caused by these events.
If additional services or excursions are offered during the tour (such as by the tour leader, guide, hotel, or other service providers), they are not part of the tour package, and Mountain Ice Trip does not accept responsibility for their cancellation, modification, or any resulting loss, injury, or damage. Any complaints about such services should be addressed directly to the service provider.
Mountain Ice Trip is not liable for:
- Injury, loss, harm, death, or damage caused by the act or default of independent contractors.
- Missed sightseeing or curtailed programs due to force majeure (e.g., political disturbances, natural calamities, etc.).
- A celebrity entertainer not attending due to circumstances beyond the company’s control.
- death of the guest while on tour and all applicable rules and procedures of law are to be followed strictly and all the procedures pertaining to the death shall have to be tackled and handled by the guest or their relatives themselves at their own cost and consequences.
- any damages, additional expenses or any consequential losses suffered by the guest/s due to Cancellation, Amendment and / or alteration of any of the services of the tour mentioned in the itinerary / Brochure by Kesari after the registration by the guest/s.
Your Holiday Price: Once we have sent you a booking confirmation or invoice, we will only change the price of your holiday trip if there is a change or increase in any one or more of the following:
- Transportation costs (including the cost of fuel);
- Dues, taxes, or fees chargeable, such as landing taxes or embarkation or disembarkation fees at ports and airports; or
- In the event of a significant increase in any of the components that are included in your tour cost i.e.: hotels, entrances, flights, transportation & food.

Miscellaneous:
- Privacy of Information: Any information provided by guests may be disclosed if required by law or a court order. Otherwise, it will not be shared, except for tour-related communications (e.g., WhatsApp group).
- Government Rules for NRIs & Foreigners: All guests, including NRIs and foreign nationals, must comply with the laws and regulations of India or any country they are visiting.
- Photographs & Videos: Mountain Ice Trip reserves the right to use photos or videos taken during the tour for promotional purposes without obtaining prior permission from the guest.
- Reference Calls: The company may refer prospective guests to previous ones for promotional purposes and may send transaction and promotional messages via SMS, email, or phone.
- Valuables: Guests are advised not to carry valuable items on the tour. Mountain Ice Trip is not responsible for any lost personal belongings.
- Shopping: Shopping during the tour is solely the guest’s responsibility. Mountain Ice Trip does not recommend or promote specific shops and is not liable for any issues with purchases.
- External Guests: No external guests are allowed on the tour, and they cannot use any of the tour services.
- Paid Toilets: At some locations, there may be paid toilet facilities. Guests are responsible for managing these costs.
- Hotel Check-in & Check-out: Standard check-in time is 12:00 pm, and check-out time is 10:00 am. Early check-ins or late check-outs are subject to hotel discretion.
- AC Usage: AC will not be operational in cooler or hilly areas.
- Alternate Accommodation: If a listed hotel is unavailable, accommodation in a similar-standard hotel will be arranged.
- Rohtang Pass Transportation: Due to local cab union, transportation to Rohtang Pass is not included in the destination itinerary.
- Jurisdiction: All disputes or claims arising from the tour shall be subject to the jurisdiction of the courts at Hisar.
Complementary Items:
Mountain Ice Trip reserves the right to change the policy regarding complementary items without prior notice. No claims will be entertained for non-utilization of complementary items. It is the guest’s responsibility to claim any complimentary items.
